We had meetings twice a month. They were on Friday afternoons at 5:00 pm and they had beer and wine catered in, everyone went to the large conference room and could talk to anyone about anything, usually while standing in small groups drinking and eating snacks that were also catered.
Political correctness is the pettiest form of casuistry.
